Should a small business move its server to the cloud?

For most Australian small businesses, yes, but rarely for the reason given in the brochure. The strongest arguments are resilience, secure remote access and the end of hardware refresh cycles. Pure running cost is a genuine toss-up. The moment that should decide it is when your current server is next due for replacement.

Let us start with the counter-argument, because it is real and it is missing from almost every provider's page on this subject. Ask experienced administrators whether replacing an on-premise server with cloud infrastructure saves money and a common answer is that it is entirely possible and almost never cheaper on running cost alone. They are right. A server you have already bought, sized correctly and use fully is an efficient thing. Cloud infrastructure is rented, priced for elasticity you may not need, and it keeps charging every month for capacity a paid-off box provides for the price of electricity.

So if cost is not the argument, what is? Resilience first. A single server has a single motherboard, and when it fails the business stops until someone sources a part. The honest cases for staying are narrower but genuine. A recently purchased, well-sized server with years of warranty left is money already spent, and moving now wastes it; plan the move for its end of life instead. Applications with heavy local data movement, video editing, large CAD files, some manufacturing systems, can perform worse over a connection than over a local network. Connectivity that is genuinely poor is a blocker until it is fixed. And occasionally a line-of-business vendor simply will not support their product hosted, which is a conversation to have with them before it becomes a constraint you assumed.

That points to the timing rule, which is the practical heart of this decision. Do not move because cloud is modern, and do not stay because a move feels disruptive. Find out when your current server was bought, when its warranty ends and when it is next due for replacement, then plan the migration to land at that point. You avoid paying twice, the capital you would have spent on hardware funds the transition, and the decision stops being philosophical.

Two costs get left out of nearly every comparison, and both matter more for small businesses than the headline infrastructure price. The first is the connection: a cloud-hosted business needs a reliable link and a second path, so a proper design includes 4G or 5G failover sized for real work. The second is the design itself, because badly architected cloud is expensive cloud, and it is genuinely easy to run up bills by lifting a server into a virtual machine and leaving it running at full size around the clock. And compare total cost over the next five years, including the hardware you would otherwise buy twice, rather than comparing a monthly cloud bill against a server you have already paid for.
