What happens to your phones when the internet goes down?
Your desk phones stop. A cloud phone system runs over your internet connection, so when the connection fails the handsets go with it. Three things prevent that from becoming a closed business: a failover connection, mobile apps already installed and signed in, and a diversion configured in advance.
This is the trade nobody explains when a business moves off a traditional phone line. The old arrangement had a genuine advantage: the copper line was independent of everything else, so when the internet failed the phones kept ringing. Moving to a cloud system gains enormous flexibility and quietly concentrates two dependencies into one. Most businesses do not notice until the first outage, which tends to arrive on a busy day.
The first answer is a second path for the connection, usually 4G or 5G failover on a router that switches automatically. This is the same measure that protects hosted files and applications, so it is rarely a phone-specific purchase; it is infrastructure that happens to save the phones too. Two details matter: it has to switch over automatically, because a manual failover during a busy morning will not happen, and it has to be tested, because untested failover is a theory.
The second answer costs nothing and is the one most often missed. Every modern phone platform has a mobile application, and a staff mobile runs on a completely different network from your office. If the app is installed and people have signed in, an office outage becomes an inconvenience: calls still arrive, on the same number, wherever people are. The catch is entirely in the preparation, because installing and authenticating an app during an outage is exactly when it will not go smoothly. Roll it out on day one and remind people it exists.
The third answer is a pre-agreed diversion. Decide now where calls should go if the office is unreachable, whether that is the manager's mobile, a rotating roster, or an answering service. Most platforms can trigger this automatically when they detect the office is offline, and the ones that cannot will at least let your provider make the change quickly. Either way the decision should be made in advance and written into your continuity plan, because it is a business decision rather than a technical one and nobody makes good ones mid-incident.
Power is the outage nobody plans for, and it takes out more than the phones. Desk handsets draw power from the network switch, so a blackout stops them even when the internet is technically fine, and the router and switch go with them. A small uninterruptible power supply on the network equipment buys enough time to move to mobiles deliberately rather than discovering the problem when the first customer cannot get through.
Video conferencing deserves a mention in the same breath. In an outage it is simply gone, and the practical fallback is that meetings move to mobile data, either through the phone app or by tethering. That works well enough for a conversation and poorly for anything involving screen sharing, so a business that runs client meetings by video should know its plan rather than improvising while people wait in a lobby.
Emergency calling needs its own explicit answer, because assumptions here are dangerous. Cloud phone systems handle emergency calls differently from a traditional line, they depend on the address registered against the service being current, and during a connection outage a desk phone cannot reach triple zero at all. Every workplace should have a mobile available and staff should know that is the arrangement. It costs nothing to be clear about and matters enormously on the day it is needed.
Test the arrangement twice a year and treat it as a drill rather than a formality. Unplug the primary connection during a quiet hour and watch what happens: does failover engage automatically, do calls still arrive, does anyone notice. Failover configured once and never exercised has a habit of revealing a lapsed SIM, an expired data plan or a router that needs a manual nudge, and the day of the real outage is the wrong time to find out.
The honest caveat is that none of this makes an outage pleasant, it makes it survivable. Even with everything above in place, an internet failure remains disruptive: quality suffers on mobile data, staff are working around their normal setup, and something will be missed. The goal is a bad morning rather than a business that cannot be reached, which is the difference between an inconvenience and lost customers.
