What IT does a construction or joinery business need?
Four things: job or project management that people will actually use in the field, estimating you can trust, devices and connectivity that survive the conditions, and a way of capturing paperwork where the work happens rather than back at the office. The last one determines whether you get paid promptly.
Construction and joinery differ from most businesses in a way that shapes every technology decision: the work happens somewhere else. The office is where quoting and invoicing occur, and the value is created on a site or in a workshop where the connection is poor, hands are dirty, and nobody is sitting at a desk. Any system that assumes an office worker at a keyboard will be used by the office and ignored by everyone else, which produces exactly the double-handling it was bought to remove.
Job management is the centre of the system, and the market has several good options built for Australian trades and builders. The platform decision is a business one about how you run jobs, and the technical questions worth asking are narrower: does it work offline and sync when a signal returns, is the mobile experience genuinely usable with one hand in poor light, and does it connect to your accounting so that a completed job becomes an invoice without re-entry. Estimating is the second element and it is where many businesses carry a peculiar risk. Estimating systems in this sector are often old, sometimes very old, and frequently irreplaceable because they encode years of accumulated pricing logic that exists nowhere else. Site work destroys ordinary equipment, and a business issuing consumer tablets to people working in utes and on scaffolds will replace them repeatedly. Rugged or well-protected devices cost more once. Connectivity should be assumed poor: mobile broadband with a plan that reflects real usage, tools that work offline, and an honest conversation about which sites simply will not have coverage.
Fourth is capture, which is where the money is. Variations, site instructions, progress photos, timesheets and completion sign-offs are the evidence you invoice against, and if they are captured on paper and re-entered later, some of them are not captured at all. A variation nobody recorded is work you did for free, and in this industry that is not a rare occurrence. Capturing it in the field, with photos attached, converts memory into a claim.
Security deserves a paragraph because construction businesses often assume it is somebody else's problem. It is not: builders handle client payment details, deposits and progress claims, which makes invoice redirection fraud a live risk, and the industry has lost real money to it. Multi-factor authentication on email and a rule that any change to bank details is verified by phone are the two controls that matter most, and neither costs anything beyond insisting on them.
Subcontractors are the other structural feature worth designing around. A business running subcontractors needs to share drawings, scopes and site information without handing over access to everything, and to remove that access when the job ends. That is straightforward when documents are structured per job with their own permissions, and impossible when everything lives in one shared drive that people are emailed links to.
The honest caveats. Not everything needs to change at once, and the highest-return first step is usually field capture rather than a new office system. Adoption is the whole game in this sector, so a simpler tool people use beats a better one they work around.
