How should shop-floor staff get computer access?

2 min readBy Brendon Whiting, Founder · 7 January 2026

Shared terminals with individual logins, hardware rated for the environment, and licensing sized for shared use rather than one seat per person. The common mistakes are a single shared password, consumer hardware that dies within a year, and buying full licences for people who need very little.

Individual sign-in matters more than it appears. Without it you cannot tell who recorded a completion, who logged a quality check or who was signed in when something went wrong, which undermines both traceability and any investigation. It also makes offboarding impossible in practice, since removing a departing person's access means changing a password everyone uses and telling everyone the new one. Individual accounts on a shared device solve both problems and cost nothing extra.

Hardware is the second decision and the one that quietly repeats. Dust, moisture, heat, vibration and the occasional knock destroy ordinary office equipment, and a terminal that fails in a busy area takes production time with it while someone sorts it out. Commercial or industrial-grade units with sealed input surfaces cost more once and considerably less over three years, and the calculation should include the interruption rather than only the replacement.

Licensing is where manufacturers most often overspend without noticing. Someone who clocks on, views a work order and records a completion is not doing what an office user does, and most platforms including Microsoft 365 have lighter licence types intended for frontline and shared-device workers. Buying uniform licences across a workforce with fifty shop-floor staff is a substantial and avoidable annual cost. If you want the floor connected properly and licensed sensibly, call 1800 456 567.

Frequently asked questions

Avoid it. A shared login destroys the audit trail, so you cannot tell who recorded what, and it makes removing access for a departing staff member impossible without changing a password everyone uses. Individual accounts on a shared terminal give you both convenience and accountability.

Often not, and this is where manufacturers overspend. Someone who clocks on, views a work order and records a completion needs far less than an office user, and most platforms have lighter licence types for exactly that. Ask specifically rather than buying uniform licences across the whole workforce.

Industrial or commercial-grade terminals rated for the conditions, with sealed keyboards or touchscreens where dust and moisture are present. Consumer equipment in a harsh environment fails repeatedly, and the replacement cost plus the production interruption comfortably exceeds the premium for equipment built for it.
