What is Power Automate, and can a small business actually use it?

Power Automate is Microsoft's automation tool, included with eligible Microsoft 365 business plans, that connects applications and runs rules like when a form is submitted, create a task, notify the manager and file the document. Most businesses pay for it and have never opened it.

It is genuinely usable by a non-technical person for straightforward things, which is not always true of tools described that way. If you can express the rule as when this happens, do that, you can generally build it, and a library of templates covers many of the common cases without starting from scratch. Complexity arrives quickly once you need conditions, error handling or several systems in sequence, and that is the point where help is worth paying for rather than a reason to avoid the tool.

The realistic uses in a small business are modest and add up. Turning an email enquiry or a form submission into a record, a notification and a filed document. Routing an approval and chasing it when it stalls. Copying information between two systems that do not talk. Sending a reminder before an appointment or a deadline. Each saves minutes rather than hours, and the ones that repeat daily are worth more than they sound.

Two practical warnings. Check what your plan actually includes, because standard connectors are covered while premium ones need additional licensing, and it is disappointing to design something that turns out to need the paid tier. And give every flow an owner and a failure alert, because a flow built by someone who has since left, quietly broken since March, is a genuine category of small-business problem.
